The Challenge

EduFlow is a fast-growing edtech startup offering curriculum management tools to K-12 schools across India. As they scaled from 50 to 300 school partners, their backend operations became a bottleneck. Their compliance team was drowning in paperwork — managing MOUs, fee agreements, curriculum licences, and DPDP (Digital Personal Data Protection) compliance manually.

They needed a system that could handle legal document generation, e-signatures, automated reminders, and audit trails — all in one place.

Discovery & Architecture Planning

We spent two weeks embedded with EduFlow's operations team to understand every workflow. We mapped 23 distinct compliance processes, identified the 7 most time-consuming, and prioritised them for automation in Phase 1.

Custom CMS Architecture

Rather than adapting an off-the-shelf solution, we built a purpose-built admin platform using Node.js, PostgreSQL, and a React frontend. Key modules included:

• Smart Document Generator — Dynamic MOU and agreement creation from templates with auto-populated school data
• E-Signature Integration — Native DigiSign integration for legally binding digital signatures
• Compliance Dashboard — Real-time status tracking of all active school agreements with colour-coded alert system

DPDP Compliance Layer

We implemented a comprehensive data privacy framework aligned with India's DPDP Act, including data classification, consent management, and automated data retention policies.
